Board Liaison

JOB SUMMARY

The Gifted Music School seeks a talented Board Liaison to provide administrative support and serve as a two-way link between our Executive Team and Board of Directors. The role will also coordinate with the Development Team to steward board relationships and cultivate prospective board members.

The Board Liaison reports to the Executive Director. You will join a kind, experienced, and collaborative team of colleagues who are committed to the GMS mission and to supporting your work and professional growth.

This a part-time, non-exempt position 20 hours/week of $25k-$30k per year depending on experience.

 

Primary Responsibilities:

  • Coordinate, organize, and assist with timely correspondence to facilitate effective communication among the Board of Directors and between the Board and the Executive Team.

  • Communicate with other relevant internal and external stakeholders to ensure successful Board and Executive Team activities.

  • Provide confidential administrative support to the Board and Executive Team, including managing calendars; appointments; conference/video calls; travel; itineraries; and coordinating meetings.

  • Help research, draft, edit, and compile documents, presentations, proposals, and reports.

  • Coordinate materials to ensure the Board, Executive Team, and Senior Staff are prepared for meetings.

  • Schedule and provide logistical support for bi-monthly Board meetings.

  • Take the minutes at bi-monthly Board meetings.

  • Maintain Board and Executive contact lists, files, and forms.

  • Support Board Committees as needed in the execution of their assignments.

  • Coordinate with the Development Team to steward board relationships and cultivate new board members.

  • Work with the Business Manager to generate timely expense reports.

  • Track Executive and Board expenses.

  • Other duties as assigned.

 

MINIMUM QUALIFICATIONS

  • Bachelor’s degree with a preference for Business, Communications, or Nonprofit Management.

  • At least 1 year of successful experience as a Board Liaison, Executive Assistant, or in another role providing administrative support at the executive level.

  • Demonstrated ability to perform the essential functions of the job as outlined above.

  • Understanding of nonprofit boards.

  • A self-starter who takes the initiative and possesses foresight to plan for contingencies.

  • Strong emotional intelligence and interpersonal skills, including the ability to build trust and rapport with individuals from a variety of backgrounds.

  • Confident written communication, with polished professional writing, and the ability to proof-read and craft organization documents.

  • Excellent verbal communication.

  • A good listener with the ability to discern information, ask clarifying questions, and incorporate feedback.

  • Excellent technical skills, including minute-taking, and computer software skills.

  • Highly organized with the ability to juggle multiple priorities.

  • Self-motivated with the capacity to work independently and collaboratively.

  • Ability to maintain confidentiality with sensitive information and uphold professional and ethical standards.
