JOB SUMMARY

Gifted Music School is seeking an entry-level, part-time Student Services Assistant to join our vibrant team. Student Services Assistants are the first point of contact for students, faculty, and patrons when they enter the school and therefore play a critical role in maintaining an atmosphere that is both welcoming and professional. Primary responsibilities include greeting and directing, assisting students and faculty with scheduling and room availability, answering and directing incoming calls, supporting the Student Services Manager with attendance tracking and other administrative tasks, and ensuring the safety of our campus and community with a consistent watchful presence.
 
Student Services Assistants report to the Student Services Manager and will work in close cooperation with other members of the team. The Assistant's primary role is to open and close the building and take attendance.
 
 
Responsibilities:
Specific responsibilities for the Student Services Assistant will include, but are not limited to:
 
  1. Customer Service
    • Greet students and visitors warmly upon arrival and, when appropriate, engage with parents and students about their experience at Gifted Music School
    • Be prepared to answer questions in person and over the phone by staying up to date on all school events and program offerings
    • Assist with scheduling facilities and checking room availability when needed
  2. Safety and Security
    • All Student Services Assistants will have key and alarm access to the building and be responsible for opening, disarming, addressing temperature, and arming and closing school facilities
    • Only faculty, staff, students, and their families are permitted to enter the building. Anyone not associated with or invited by Gifted Music School should be respectfully asked to leave
    • In the event a guest has been invited to the school, the Student Services Assistant will receive prior notification from one of the program directors or school administrators (i.e. faculty and students may not bring guests without first receiving authorization from the appropriate director or member of the administration)
  3. Attendance & Monitoring
    • The Student Services Assistant should make rounds every half hour, not disturbing but viewing each class or lesson in progress. This will ensure every lesson or class is observed for a few moments (outside of the classroom is fine). Notation should be made regarding this monitoring
    • Make note of any students who do not attend their lesson, or other irregularities in the provided schedule
    • Share updates and notations with the Student Services team via email reports, direct updates to My Music Staff, and any other format requested by the Student Services Manager
  4. Housekeeping
    • Arrive early enough to ensure the building is open and ready for student and teacher use prior to lesson
    • Assess and perform any necessary light housekeeping (tidying areas, replacing brochures, etc.) as needed
    • Monitor overall appearance of lobby, hallways, and main desk; collecting waste and recycling as needed
  5. Administrative Duties
    • Attend all Student Services meetings and briefings as scheduled by the Student Services Manager
    • May be asked to assist with various administrative tasks, such as facilitating auditions/juries, updating bulletin boards, filing, data entry, mailings, etc.
    • Other duties as assigned
 
Work Schedule:
Shifts are shared and negotiated among the Student Services Staff. The general weekly coverage required is summarized as follows:
  • Monday through Friday, 1:30 p.m. to 8:30 p.m.
  • Saturday, 7:30 a.m. to 3:00 p.m.
  • Occasional morning, late evening, or Sunday coverage may be requested.
 
Hourly Pay Rate:
$10.00 to $13.00

 

Standard Hours Per Week:
15-20
 
 
 

MINIMUM QUALIFICATIONS

  • High school diploma or equivalency
  • Physical ability to lift chairs, music stands, and other furniture as needed
  • Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined above
 
 

PREFERENCES

In particular, we are looking for candidates with:
  • The ability to greet and interact with students, faculty, and guests with a warm, friendly, professional, and positive demeanor
  • The ability to problem-solve and troubleshoot
  • Previous experience working in customer service
  • A demonstrated interest and experience with music education
  • Availability and willingness to cover for other team members when needed
Familiarity with Gifted Music School’s policies and procedures, as well as the school's systems (i.e. My Music Staff) is preferred but not required.
